Summary:

Job Summary: With a solid understanding of the operations, business practices, strategies, and goals of the system this position is responsible for providing executive level support to members of UNC Health Care System’s Finance Leadership Team. Responsibilities include directing, organizing and controlling project activities, under the direction of the CEO’s (UNCHCS)/Dean’s Office(SOM) . . Position performs a wide range of special projects or assignments that are highly sensitive or complex in nature, requiring a high level of independence and initiative in execution and implementation. Position works directly with members of Senior Leadership of UNC/SOM Senior Leadership and Financial Leaders throughout the Health Care System.

Description of Job Responsibilities: 

  • Works directly with Senior Leaders in developing a comprehensive workflow process for projects. Prepares and edits complex presentations, charts, and other written correspondence that best depicts content of intended message to internal and external stakeholders. 
  • Serves as office coordinator for the Finance Leadership Suite. Ensures day to day work environment is conducive for collaboration and meets high level outcomes. Maintains communication with leaders and staff to assure timely and efficient completion of jobs, proper communication of issues, and proper documentation of the entire process. 
  • Provides administrative support to leaders by managing multiple tasks with competing deadlines. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. 
  • May supervise subordinate clerical staff. 
  • Monitors and modifies project schedule as assigned. Maintain document control, database management, track project activities and team communication. Assists project team and team lead in strategic meetings and follow up with meeting notes. 
  • Ensures invoices are processed and paid. Works with Accounts Payable Team to establish new vendor relationships and pay invoices in a timely manner. Follow-up with vendors as needed when questions arise. 
  • Coordinates in person and virtual meetings, including travel arrangements and expense reports. 

Qualifications

Education Requirements:
● Associate's degree in an appropriate discipline or equivalent combination of education, skills, and experience.
Licensure/Certification Requirements:
● No licensure or certification required.
Professional Experience Requirements:
If an Associate's degree, three (3) years of experience in an administrative support role and/or projects-related role. If a high school diploma/GED, seven (7) years of experience in an administrative support role and/or projects-related role.
