Summary:
The Department of Obstetrics and Gynecology is recruiting an Administrative Coordinator to support the Division of Urogynecology. The Division coordinator will report directly to the Division Director for Urogynecology with a dotted line to the Associate Chair for Administration for the Department of Obstetrics and Gynecology. This position will support all administrative functions within the Division and all Division members, including the faculty, trainees (primary fellows), research team and administrative team. The Division Coordinator will also assist with the fellowship program for the Division and works closely with the fellows in training as well as the Fellowship Director.
The individual in this position is responsible for a wide range of administrative and managerial responsibilities, which require a high degree of independent thought, analysis, and action. This position will be expected to work independently and in collaboration with other administrative support staff across the department. This is a hybrid position that will require on-site attendance at the Urogynecology outpatient clinic in Raleigh 2-3 days per week.
This position qualifies for a $3,000 commitment incentive, paid in six (6) installments over a three (3) year commitment. Payment is made after each six (6) month period of work completed. Responsibilities:
1. Administrative support for the Division:
-Knowledge, implementation and record keeping of university and departmental policies
-Interacting and corresponding with multiple individuals regarding Divisional issues including Divisional faculty and fellows, clinical staff, administrative staff and trainees
-Organize credentialing, orientation, onboarding and training of new staff and fellows, maintaining standard operating procedure manuals, updating and record-keeping of policies
-Organize and coordinate Division meetings, lectures and visiting speakers on Zoom
-Scheduling and prioritizing meetings
-Booking travel
-Purchasing necessary supplies and equipment for the division, processing reimbursements
-Planning divisional events (retreats, meetings, etc.)
-Preparing presentations, updating CVs, etc.
2. Coordination for the Urogynecology fellowship program:
-Coordinate the fellowship program and assist with fellowship accreditation activities
-Oversee trainees (fellows, residents and medical students) and their schedules and credentialing.
3.Clinic Operations:
- This position will work with other staff in the Urogynecology outpatient clinic to conduct patient appointment reminder phone calls and schedule or reschedule patients as required.
- This position may be asked to support other clinical administrative functions as needed.
4. Financial Management:
- In coordination with the departmental finance team, this position will help monitor the division’s annual clinical budget, ensure faculty funding sources are accurate, and track faculty CME funding allocations.
- Approve expenditures and manage various aspects of the Division’s budget.
5. Assist in marketing initiatives for the Division including development of print materials and communication regarding our Division’s services
6. In coordination with the departmental HR team, this position will help onboard new providers and staff, including assisting with credentialing activities, ordering supplies and equipment, and scheduling interviews.
7.This position will serve as the point person for all complex customer service and administrative issues in the Division, including interpreting and communicating policies/procedures to other parties based on knowledge of the organization and departmental guidelines.
