Summary:

 UNC Health is seeking exceptional candidates to join the Strategy and Transformation team supporting the System Vice President, Strategic Planning and the Strategic Planning team. This is a unique opportunity for a mission-driven individual to join a dynamic, collaborative, and fast-paced team environment as a Project Coordinator. The Strategic Planning department acts as an internal consulting group focused on leading strategy across UNC Health. Our department’s mission is to provide valued strategic insights, trusted advice, and skill execution that elevate UNC Health’s impact in North Carolina and position it as the nation's leading academic health care system. The Project Coordinator is responsible for, organizing and supporting project activities, under the direction of a Manager, Director or Vice President. This position spends approximately 50% of time coordinating various aspects of departmental and client projects 

Responsibilities:

  1.  Assists the team in maintaining project pipeline and resource capacity tool used for staffing projects.
  2. As an assigned member of a project, maintains communication with project members to assure timely and efficient completion of jobs, proper communication of issues, and proper documentation of the entire process. 
  3. Provides administrative support to department by collaborating with Human Resources in the areas of recruitment, organizational structure changes, and personnel changes. 
  4. May supervise subordinate clerical staff. 
  5. Maintain document management processes. Assists project team and team lead in strategic meetings and follow up with meeting notes and client surveys. 
  6. Prepares and edits presentations and charts. Coordinate meetings, including travel arrangements and expense reports, and provides event / meeting support (e.g. AV equipment, food and beverage, etc.). Maintain Vice President of Strategic Planning’s calendar. 
  7. Schedules project follow up meetings as needed. Develops and publishes communications to project shareholders. Develops and reviews project status and reports. 
  8. Provides support for recruiting activities to including interview coordination (e.g. scheduling, hospitality, etc.) and candidate management. 
  9. Provides additional administrative support to the department to enhance team engagement, including coordination of team and social events (e.g. guest speakers, holiday events, retirements, etc.), professional development events, department newsletter, trainings, etc.
  10. Provides onboarding support for new team members including work space determination, equipment management, welcome events, training coordination, etc. 
  11. Coordinates agendas and meeting notes for department team meetings, leadership meetings, and town halls

Other Information

Education Requirements:

  •  Associate's degree in an appropriate discipline or equivalent combination of education, skills, and experience.
Licensure/Certification Requirements

  • No licensure or certification required.
Professional Experience Requirements:

  • If an Associate's degree, three (3) years of experience in an administrative support role and/or projects-related role. If a high school diploma/GED, seven (7) years of experience in an administrative support role and/or projects-related role.

Knowledge/Skills/and Abilities Requirements

  • Expertise in Microsoft Outlook, Microsoft Teams, Sharepoint is essential. Advanced level of Powerpoint, Excel and Word is preferred.

This position is employed by NC Health (Rex Healthcare, Inc., d/b/a NC Health), a private, fully-owned subsidiary of UNC Health Care System, in a department that provides shared services to operations across UNC Health Care; except that, if you are currently a UNCHCS State employee already working in a designated shared services department, you may remain a UNCHCS State employee if selected for this job.
