Summary:

Provides general clerical, secretarial and organizational support to the Manager of Case Management, to the departmental staff, and to the department.

Courteously screens and determines priority of calls, making every effort to contact person being called in urgent situations, and ensuring that calls of minor importance are held for later response when the person being called is involved in more important matters.

Ensures prompt delivery of telephone messages, to include name of caller, telephone number, time and date of call, message and disposition.

Accurately and promptly relays verbal messages to appropriate person.

Pleasantly greets visitors to the department, and promptly and appropriately addresses their needs.

Competently handles routine and simple requests without advice or assistance.

Creates correspondence and other documents in the proper format in accordance with dictation, written draft or verbal instructions, without errors in content, spelling or grammar, and within the designated time frames.

Routinely initiates draft responses to routine correspondence or requests, without prompting, and submits for management signature, so that management time is not taken up unnecessarily.

Ensures that a copy of all correspondence is made and appropriately filed in system or hard-copy records.

Graphs, tables, computations and analyses performed using spreadsheet, graphics or database software can be relied upon as accurate in their representations and computations.

Sorts and organizes in-boxes, daily, pointing out items of priority or particular interest, and processes items in out-boxes as indicated.

Proficient in use of keyboard operations and Microsoft office computer applications. Proficient in use of word processing, graphics and database software. Proficient in the use and operation of standard office equipment. Knowledge of medical terminology. Great interpersonal/communicational skills a must. Incumbent must demonstrate an ability to apply age-appropriate principles of communication during interaction with others. Incumbent must demonstrate competence per the position’s Skills Checklist before being allowed to perform independently.

Education Requirements:
● Requires associate or bachelor’s Degree. Completion of formal curriculum for Medical Secretaries/ Administrative Secretaries or Administrative Assistants.

Licensure/Certification Requirements:
● Not applicable.
Professional Experience Requirements:
● (3) years of General - Secretary. Prefer experience in a healthcare setting.
