 Job Summary: 

Performs a variety of administrative functions in support of a program or an administrative official in carrying out departmental financial and operating procedures and/or a program's administrative activities. 

Description of Job Responsibilities: 

1. Serves as primary assistant to Director(s). Organizes supervisor’s files (electronic and paper). Ensures materials are readily accessible and that file maintenance is current. Maintains confidentiality of information. 

2. Schedules calendar commitments for supervisor as needed. Determines administrative needs and making arrangements for conferences, meetings, seminars or other related activities. Will act as the point of contact for requested/required meeting arrangements. 

3. Performs departmental or program purchasing administrative functions to include researching and recommending supplies and equipment to supervisor, expediting purchase orders and requisitions, and approving operational expenditures. 

4. Assisting in developing budgets, monitoring expenditures, and reconciling financial statements. Investigating discrepancies and processing corrective actions. 

5. Coordinating and completing special projects independently or in cooperation with other groups as assigned. 

6. Extracting and compiling data from written sources, individuals, and/or databases and providing interpretation. 

7. Managing departmental information systems. Consolidate/owning documents/standard work. 

8. Preparing complex databases, reports, charts, graphs, spreadsheets at designated intervals as requested. Composing formal correspondence and documents for internal or external circulation. 

9. Researches and composes a variety of correspondence, memoranda and reports using office support software packages. Compiles materials from multiple sources into a unified presentation. Maintains confidentiality of information. 

10. Communicates and follows up with department managers regarding project and report data due to supervisor. Ensures agenda and documents for discussion are distributed in advance to meeting attendees. Prepares and distributes minutes of meetings. Collects and distributes slides for various meetings. May be asked to coordinate presentations/PPTs. 

11. Assists with various administrative duties such as timecards, provider time audits, payer enrollment coordination/audit, provider onboarding, contract tracking, physical space management/coordination, attend various meetings as requested to ensure connection between leaders/operations is established.

● Six (6) years of administrative support experience.
