Summary:
Responsible for organizing and planning project activities under the direction of an Executive Recruiter. This position spends>50% of time worked on high-level administrative tasks and projects. This is a hybrid position that will be mostly remote.

Responsibilities:

1. Assists Executive Recruiters with complex scheduling projects, working directly with executives, executive assistants and other organizational leaders. Includes heavy use of Doodle Poll, Outlook and WebEx. 

2. Prepares detailed and polished interview itineraries. 

3. Makes travel arrangements for executive level candidates with an excellent level of customer service. Processes travel invoices and travel reimbursement requests with a high level of accuracy. 

4. May assist with preparing spreadsheets, online surveys, and other documentation including, but not limited to, folders containing interview materials. 

5. Places catering orders and ensures that invoices are charged to the appropriate cost center. 

6. Onboards executive level new hires including coordinating background checks and drug screens, I-9 verifications, etc. and ensures an excellent new hire experience. 

7. May require physical presence at Morrisville and Chapel Hill occasionally. 

Qualifications

Education Requirements:
● Associate's degree in an appropriate discipline or equivalent combination of education, skills, and experience.

Professional Experience Requirements:

● If an Associate's degree, three (3) years of experience in an administrative support role and/or projects-related role. If a high school diploma/GED, seven (7) years of experience in an administrative support role and/or projects-related role.

Knowledge/Skills/and Abilities Requirements:

  • Strong knowledge and experience with Microsoft Office products including Outlook, Word and Excel.
  • Experience scheduling WebEx meetings.
  • Knowledge of Doodle poll preferred.
  • Microsoft Teams and One Note a plus. 
  • Recruiting Assistant experience a plus.
