Job Description

The program coordinator provides an exceptionally high level of professional support to IHQI leaders, faculty and stakeholders in the School of Medicine and at UNC Health. The position reports to IHQI’s Executive Director and works as a collaborative team member with IHQI faculty and staff. The program is often IHQI’s first point of contact and represents IHQI to SOM faculty and UNC Health leaders. The program coordinator holds primary responsibility for smooth implementation and execution of IHQI’s complex, broad and varied program and operational activities. The program coordinator understands and nurtures the numerous relationships with stakeholders that are essential to IHQI’s success.

Duties and Responsibilities:

  1. Create and maintain standard work documentation including project charters, comprehensive, detailed work plans and schedules, procedural documentation, and project evaluations. Scope projects, determine lead time, and task dependencies. Lead project team meetings ensuring team members understand project tasks and due dates. Document and communicate results of meetings. 
  2. Plan and implement small, medium, and large-scale projects including symposia, workshops, and events in support of clinical improvement projects, leadership development, clinical education, strategic and operational activities. Responsible for site management, coordination with vendors, registration, communication with faculty, external speakers and participants, program evaluation, and knowledge management. 
  3. Plan and manage program’s marketing and communication activities. Coordinate processes for gathering, synthesizing and disseminating program information. Develop marketing materials, presentations and progress reports. Maintain program’s website and social media sites.
  4. Create work plans and timelines. Plan and facilitate program and operational meetings. Monitor status of tasks and monitor program progress. Schedule and participate in program and operational meetings. 
  5. Create budgets, process invoices and vouchers and track financial information. Manage relationships with vendors and contractors. 
  6. Coordinate complex Improvement Scholars Program selection process: publicize program, respond to questions from program applicants, track letters of intent and applications, schedule and coordinate selection process with SOM faculty and UNC Health leaders, and compile and summarize application scores and reviewer comments. 
  7. Execute complex scheduling with physicians and UNC Health leaders. 

Education Requirements:

Associate's degree in an appropriate discipline or equivalent combination of education, skills, and experience.

Professional Experience Requirements:

If an Associate's degree, three (3) years of experience in an administrative support role and/or projects-related role. If a high school diploma/GED, seven (7) years of experience in an administrative support role and/or projects-related role.

Strong written communication skills preferred.

Experience managing social medial preferred.

Licensure/Certification Requirements:

No licensure or certification required.
