Our Perinatal Services Department is comprised of Lactation Consultants, Perinatal Educators, Birth Certificate Registrars, Car Seat Technician and a Newborn Screening Coordinator. Our services include breastfeeding support, pregnancy and parenting classes, completion and filing of birth certificates with the local and state departments of Vital Statistics, infant safety seat checks and State mandated infant screening. Our team consists of Registered Nurses, Educators, Child Passenger Safety Technician and Administrative staff who are committed to delivering high quality and compassionate care with a family centered approach. 

Summary:

May perform duties of an administrative representative but with greater autonomy and discretion. Work involves a greater knowledge of office/clinic procedures and practice, independent judgment and problem-solving skills.

Birth certificate Registrar

Professionals known as birth certificate registrars help the general public in some of the most important moments in a person’s life, for example, when a birth certificate, notification of fetal death, or other form of vital record is needed.

They assist with information on what can be complex state law and applications to obtain vital records.

They must be able to communicate empathically and act compassionately, be familiar with technical medical and legal terminology and follow the law strictly at all times.

What Are a Birth Certificate Registrar’s Responsibilities?

The specific tasks of a birth certificate registrar vary depending on the specific state law and the facility in which they operate. However, they usually include:

  1. Collecting the necessary documents, data, and information for the correct completion of birth certificates and/or other types of vital records
  2. Working with parents for the collection of data and the correct completion of Affidavit of Parentage (AOP)
  3. Providing guidance for the correct completion of all relevant forms
  4. Reviewing relevant files (such as medical records) to identify relevant necessary information
  5. Reviewing completed forms for accuracy ensuring that all fields are filled out correctly and signatures are included
  6. Entering relevant information into appropriate computer software programs
  7. Collaborating with medical and legal staff as needed
  8. Ensuring strict confidentiality at all times

Qualifications Required to become a Birth Certificate Registrar

Necessary qualifications vary depending on the specific position. Examples of certificates and experience required include:

  • Experience in a clerical or administrative position
  • Typing expertise
  • Familiarity with Microsoft Office or similar software
  • Ability to understand and follow instructions accurately
  • Willingness to learn policies and procedures
  • Willingness to become familiar with medical and legal terminology
  • Ability to collaborate with a variety of professionals
  • Excellent communication skills, calm and professional demeanor
  • Currently be a notary public or become a notary public prior to the completion of orientation to the role

● One (1) year of clerical or administrative experience.

Works to meet the internal/external customer requirements. Fiscal responsibility: Understands the insurance process and seeks to make the best decision/referral in the interest of the customer. Conflict Resolution: Uses appropriate interpersonal styles and methods to reduce tension or conflict between two or more people. Finds agreement on issues and follows through on implementation
